Membership Register of OPTIEM – Oulun Tuotantotalousteekkarit ry, University of Oulu
The legal basis for the processing of personal data under the EU General Data Protection Regulation (GDPR) is the legitimate interest of the data controller.
The purpose of processing personal data is to maintain the membership register as required by Section 11 of the Finnish Associations Act (503/1989), as well as to maintain the contact details of the members of OPTIEM – Oulun
The following information is stored in the register:
Full name
Municipality of residence
Year of joining the association
The register does not contain information concerning individuals who are not members of OPTIEM – Oulun Tuotantotalousteekkarit ry. Personal data is deleted semi-annually after a member graduates.
Data to be recorded in the register is collected from the membership application forms of OPTIEM – Oulun Tuotantotalousteekkarit ry. The contact person responsible for the register receives the forms and updates the details in the membership register. Information regarding graduated members is provided by the University of Oulu.
Data from the register may, if needed, be disclosed solely to the Board of OPTIEM – Oulun Tuotantotalousteekkarit ry. Data is not disclosed to third parties. Furthermore, data is neither disclosed nor stored outside the European Union or the European Economic Area.
Due care is taken in the processing of the register. Data is stored strictly in digital form on a secure third-party server that complies with EU data protection legislation. Encryption is managed using OPTIEM – Oulun Tuotantotalousteekkarit ry’s own encryption keys. The information cannot be accessed or read by anyone other than designated representatives of OPTIEM – Oulun Tuotantotalousteekkarit ry.
The controller ensures that only authorized persons have access to the register.
Every member included in the register has the right to access their personal data stored in the register and request the rectification of incorrect data or the completion of incomplete data. If a person wishes to inspect their data or request a correction, the request must be submitted in writing to the data controller. If necessary, the controller may request the applicant to prove their identity. The controller shall respond to the request within the timeframe stipulated by the EU General Data Protection Regulation (generally within one month).
The register strictly retains the personal data of current members of OPTIEM – Oulun Tuotantotalousteekkarit ry. Data regarding individuals who have resigned or been expelled from the association is removed from the register within a reasonable period, and at the latest within one month of the resignation or expulsion decision
